Report to SCLA Board from Archives & History Committee, March 24, 2004

Committee Chair Jeanette Bergeron and member Suzanne Singleton met in conjunction with the SCLA Committee Retreat March 5, 2004. Bill McRee was excused to attend a funeral. Two other slots on the Committee are either vacant or the persons did not attend.

The Committee started work on a number of activities:

  1. It began examining archives-related passages in the Handbook, Constitution and Bylaws in order to offer revisions to the Constitution Committee. Areas of study include how reports are submitted, when and where the transfer of archival records occurs, and what constitutes SCLA archival documents.
  2. The Committee began to compile a list of typical documents that should be archived for various functions, including officers, committees, annual programs, sections and roundtables.
  3. The Committee began working on a web archiving practice in association with Webmaster Paul Lewis.
  4. The Committee discussed the possibility of seeking a grant from the SHRAB regrant program in 2005 for furthering preservation of the SCLA archives.
  5. Jeanette Bergeron has accepted responsibility for editing the Association Annual Report for 2003, succeeding Mary Morgan.
  6. The Committee agreed to ask the Board for one-time funding for 90th Anniversary activities in 2005 (SEE MOTION below). Many of the long-time and highly active members will be retired by the 100th Anniversary (as a result of the greying of the profession), and we want to make sure their contributions are effectively recognized.
  7. The Committee noted that it is collecting archives from the 2000s under Jeanette’s care at the Crumley Archives. These will eventually be relocated to the permanent archives at Winthrop University.
  8. The Committee planned its next meeting for mid-May at the Crumley Archives, Columbia, prior to the SCLA general board meeting. In preparation, Suzanne agreed to identify archives-related passages in the latest version of the Handbook not yet released to the membership.

The following motion is presented by the Archives & History Committee to the SCLA Board:

We ask approval of a special one-time appropriation of $1,000 for use in celebrating the 90th Anniversary of SCLA in 2005 at the Columbia conference, with funds going to anniversary conference events and a History Contest which will reward a member or group of members for creating an innovative project to celebrate the association’s anniversary.
